Once full payment has been received, we begin the international shipping process with the utmost care and attention to detail.

Step-by-Step Process:

  1. Shipping Yard Coordination
    We liaise directly with our trusted shipping agents to arrange secure delivery of your vehicle to the designated shipping yard.

  2. Vessel Booking & Reservation
    Our team handles the reservation of vessel space and ensures your vehicle is safely stored, along with its documentation, until it is ready to be loaded for departure.

  3. Documentation Provided
    You will receive all the necessary documents to ensure smooth customs clearance and vehicle collection at your destination. This typically includes:

    • Commercial Invoice / CIF Receipt – for tax declaration, detailing unit specifications and sale price.

    • Copy of Vehicle Registration Document

    • MOT Certificate (if applicable)

    • HPI Clearance Certificate (on request)

    • Original Bill of Lading (plus extra copies) – required for vehicle release at the port.

    • Owner’s Manuals & Service Books – sent separately via DHL or FedEx for added security.

Understanding Key Export Terminology with Shaffs Motors

When purchasing a vehicle for export, it’s important to understand the different terms and processes involved. Below is a guide to the key terms and documents required for international shipping and customs clearance.



Key Terms:

FOB (Free On Board / Freight On Board)
This refers to the cost of the vehicle excluding shipping and any destination charges or local taxes.

CIF (Cost, Insurance & Freight)
This includes the full cost of the vehicle plus shipping and marine insurance to the Port of Discharge.
It excludes any import duties, taxes, or fees incurred at the destination port.

T.T (Telegraphic Transfer)
Also known as a Wire Transfer, this is the most reliable and secure method of sending payment electronically. It’s fast, widely accepted, and can be completed through most major banks worldwide. T.T. is used for both deposits and final balance payments.



Documents Commonly Required for Import/Customs:

  • Bill of Lading
    A critical document used to prove vehicle ownership and to release the vehicle at the destination port. Keep this document secure at all times.

  • Commercial Invoice
    Required for customs clearance and import tax calculation.

  • Translated Registration Certificate
    We will provide an official English (or preferred language) translation of the Japanese registration cancellation certificate—essential for customs documentation in most countries.
